MINUTES
SELECTMEN’S MEETING
OCTOBER 3, 2017

Attending: Jim Newman (Chairman), Gary Haley, Julianne Vanderhoop, Frank Perez, Paul Manning, Jay Smalley, Rosa Parker, Brian Vanderhoop and Jeff Madison (Town Administrator).

Chairman Newman called the meeting to order at 5:17 p.m.

First order of business was to review minuets from 9/12/2017 and 9/17/2017 meetings. Chairman Newman made a motion to add to the 9/12 a statement that the Selectmen specifically informed
Elise Lebovit that the Assessors were not allowed to install a private internet server at the Town Office Building. The Board by consensus approved the motion and with that amendment Gary Haley moved and Julie Vanderhoop seconded Gary’s motion to approve both sets of minutes without further amendment. The vote was 3 in favor, 0 opposed.

Jay Smalley presented 2 estimates for painting at the Town Hall and the Vanderhoop Homestead pointing out that Community Preservation Funds would be used to cover painting at the Homestead. The bids were sufficiently different in that it was not able to be discerned what each bid entailed. To avoid any controversy both bids were rejected and it was agreed that an RFP would be developed that set forth the requirements at each location. Jay indicated that he had RFP’s for both projects that had been developed in prior years but the work remained undone. He agreed to provide those as a basis for future soliciting new bids.

The Selectmen then considered a report from the Town Administrator on an updated phone system for the town office building and library. After hearing the report on Jive and Comcast the selectmen indicated their preference that the new system provider have local technicians that were available to service the product. They asked the Town Administrator to check with Tim Carroll in Chilmark to inquire of their system.

Rosa Parker reported on conditions at the library. She asked that the Selectmen consider “splits” as a replacement for the heating and air conditioning; reported that the windows were old and would soon need to be replaced, exterior lighting and parking continue to be problems especially for the elderly and entry doors have problems.

Juli reminded the Town Administrator to have the town website announce openings on the Park and Recreation Committee...all interested persons to contact the Selectman’s Office. She also repeated a request that Gisele Gauthier be contacted to inquire of her interest in continuing to work for the Town on potential grants

The next meeting was scheduled for 10/17/2017 at 5:30 p.m.

Julie motioned and Gary seconded that the meeting be adjourned. Without opposition the meeting was adjourned at 5:55 p.m.
